Writing a room list for a new clinic

List the visits the practice will provide and the rooms used for each. Add the staff, supplies and equipment moving between those rooms so the project team can review the layout.

Walk through a typical visit

Choose a representative appointment and write down every stop: arrival, reception, waiting, consultation, any practice-specific activity and departure. Then repeat the exercise for a patient using a mobility aid or arriving with a companion. Record the questions these journeys raise without trying to resolve technical accessibility details yourself.

Ask staff to describe their route separately. Reception, clinical work, supplies, cleaning and administration may place different demands on the same corridor or doorway. Discuss privacy expectations and which conversations should not be carried into public areas.

Give each room a job

Build a table with the room name, intended activities, expected equipment, storage needs and relationships to other rooms. Identify spaces that are shared and spaces reserved for a particular service. Include staff support, waste handling, deliveries and housekeeping rather than filling the entire plan with revenue-producing rooms.

For equipment still under consideration, record the decision owner and expected selection date. Supplier information should be coordinated with the appropriate designers before related building decisions are finalized.

Define the opening-day scope

Separate what the practice needs when it opens from later growth. A future room might begin as unfinished space, temporary storage or part of another function; those choices need an explicit discussion. Ask the contractor what each proposed phase includes and how later work could affect ongoing operations.

Include the clinic fit-out alongside the shell when discussing the project. Interior work, equipment connections, finishes and operational requirements must have clear responsibility in the proposal.
