Planning guest and service routes at an event venue

Title formatBody

Draw guests arriving while caterers, staff and suppliers are still working. The entrances, storage and service areas need to accommodate both groups without relying on the reception room for every job.

## Follow the guest experience

Sketch arrival, gathering, the main event and departure. Include waiting before doors open, movement between indoor and outdoor spaces, and the places where guests pause for photographs or conversation. Keep vendor arrival times beside the event schedule so both drawings describe the same day.

Describe the event types you intend to host. A seated dinner, a standing reception and a meeting can use the same room differently. Give the project team separate layouts rather than one optimistic arrangement meant to represent everything.

## Follow the service work

Now draw catering arrivals, furniture movement, waste removal and staff access. Mark where equipment waits before use and where items are held after the event. Ask operators or vendors familiar with your planned event format to review this sketch.

Look for places where service movement crosses the guest route. The aim is to identify questions for the designer, not to assume every crossing can or should be eliminated.

## Test setup and recovery

Plan the day before and the morning after an event. Where do tables, chairs, decorations and staging go? Can the venue be cleaned while supplies are collected? What changes if consecutive events need different arrangements?

Include support spaces and service access in proposal comparisons. An attractive hall with unresolved storage or vendor needs is a different scope from a venue planned for operation.
