Where will an outdoor event go if it rains?

Title formatBody

Put the indoor arrangement on the drawing now. Account for guests, furniture and staff during the move inside, including any rooms already in use.

## Draw the intended event

Lay out the outdoor gathering and the indoor rooms being used at the same time. Include preparation, food service, guest waiting and storage. Identify which areas are already occupied before a change in plans.

Then draw the alternative arrangement. Ask whether the event moves entirely or only partly indoors. Record which furniture moves, who moves it and where displaced items are stored.

## Look for competing needs

A room might serve as a preparation area, a vendor base and a backup gathering space on different drawings. Mark these overlaps and decide which use takes priority. Have the venue operator and design team review the resulting plan.

Include the routes between spaces. Guests, vendors and staff may all move at once when plans change. Describe the experience you want without assuming that a covered porch alone resolves every weather condition.

## Build the concept around real choices

If the fallback plan requires a larger hall, more storage or a different outdoor connection, make those needs visible in the building plans. Alternatively, the business may choose a more limited event format. The important step is to make the operating choice deliberately.

Ask the contractor to price the defined scope and identify optional elements separately. Keep the same event assumptions across proposals so the comparison does not depend on different ideas of how the venue will function.
