What to prepare for a public building discussion

Bring a written room list, equipment information and the known site constraints. Keep early assumptions marked so they can be reviewed through the agency's project and purchasing process.

Assemble the shared information

Include the project purpose, proposed location, room program and major vehicle or equipment needs. Provide available site information and label what has not been verified. Identify the agency contact responsible for maintaining the project notes.

Say whether you are asking for a concept review, an early estimate or a proposal for defined work. Ask the purchasing office how that discussion fits the agency's own process before treating it as part of a formal selection.

Make assumptions visible

Separate confirmed requirements from options. For each option, describe the operational reason it is being considered. A larger shop, additional storage bay or future room should have a stated purpose rather than appearing as unexplained extra area.

List design, investigations, site work, building construction and owner equipment as separate subjects. Ask the contractor to identify which are included in its discussion and which require information or work from other parties.

Preserve a comparable record

Give each contractor the same current project information. Record questions, exclusions and proposed changes without silently altering the baseline. When the agency changes a requirement, issue a clearly dated revision to the relevant project participants.

Avoid comparing totals detached from scope. Ask what information would be needed to refine the proposal and which uncertainties have the greatest effect on the next planning step.
